  1. Gantt Charts provides a visual timeline, it makes easy to see the sequence of activities, the durations and dependencies.
  2. Its helps in breaking down the project in to manageable tasks, assigning responsibilities and setting deadlines.
  3.   When we update the chart project managers can monitor progress and recognize delays and make necessary adjustments
  4. It serves as communication tool helping stakeholders  to understand the project status.

How can we overcome the limitation of Gantt chart, while we are working on complex dynamic projects :

  1. We have to ensure the Gantt chart is continuously updated to reflect the current status of the project
  2. Use Gantt charts in conjunction with other project management tools like Kanban boards, task lists and Agile methodologies to provide a more comprehensive view
  3.  Be ready to change the Gantt charts as the projects evolves. This reevaluating task durations, dependencies and resource allocation.
  4.  Incorporate risk management practices to predict and resolve challenges that are impacting the project timeline
  5.  Regularly communicating with stakeholders to ensure they are aware of changes and can provide support as required
  6.  focusing on key milestones rather than indulging in the details of every task. This helps is maintaining the high- level view of the project's progress.

Gantt charts are extremely effective in simplifying and visualising project progress/milestone visualisation (tollgate reviews), bottlenecks and resource allocation and utilisation. 


Gantt chart has limitations when it comes to highly dynamic projects where scope is changing frequently where the milestones, risk management and dependency cannot be standard or static.

 

This can be overcomes by using Gantt with Kanban or Agile boards, combining with RAID log or Risk register. This gives flexibility in terms of leveraging good features of Gantt chart and enhancing it with latest tools mentioned above.

 

For the effective collaboration, we can design the Gantt in Microsoft Teams and combining with in built Kanban boards which will enable even task assignment and dependency management in realtime.

Additionally, it enables tracking of project status, including completed, pending, and ongoing tasks. Most importantly, a Gantt chart provides a clear overview of the project for customers and department heads, ensuring better communication and decision-making.

 

When using Gantt chart despite benefits we have limitations too so projects mangers use different strategies to mitigate those. Let’s discuss some of strategies ,

 

1.Critical path Method

They will use critical path method to identify the most crucial tasks and mitigating the the risk associated with dependencies

2.Project Management Software

Also they are using project management software's like MS project  ,Trello ,click up etc . this includes lot of benefit come from one package  improved collaboration, efficient task management, better planning and scheduling, enhanced communication, streamlined resource allocation, effective risk mitigation, budget control, and increased overall productivity by allowing teams to easily track progress, assign tasks, and share information centrally across a project lifecycle. 

3.focused small phases /Lean Six sigma

They will also break down large projects into smaller phases. Lean Six Sigma plays a significant role in this process, as it provides structured project scoping tools to help teams focus on the most critical areas

4.Risk Management

While Gantt charts visually map tasks and dependencies, they don’t inherently handle risks. To manage potential delays and uncertainties like Delays in material procurement, equipment breakdowns, scope changes and resource shortages. they create alternative actions to keep project on track .sometimes they maintain risk register to updates those risks and the relevant risk owner will monitor and update with corrective actions.

5.Review

Need to regularly review the project tasks and need to update real time changes, then only this Gantt chart will be useful.
