Best practices are the lessons learnt from previous engagements and sometimes hard way. However a lesson becomes practice only once it gets repeated or followed. Hence for a practice to be called as practice adoption is the key. While best practices are widely available, only a few companies achieve world-class excellence because success depends not just on knowledge but on execution

 

 

  • Mindset / culture- Some organizations / leaders don't believe in best practices as they feel "one size doesn't fit all" Which I might be true in some cases as every best practice cannot be copy pasted and it requires some customization however sometimes customization might appear to be more time consuming / expensive hence these Organization go for start from the scratch approach which leads to deprivation of benefit of "learn from others mistakes". Strong Leadership is crucial in driving change. Companies that embed a culture of continuous improvement and innovation are more likely to sustain excellence
  • Discipline for Execution- For any practice to be successful, discipline for execution is desirable. Gap between understanding and execution can render best practices ineffective. Many organizations fail due to lack of follow-through, accountability, and structured implementation.
  • Long Term focus instead of low hanging fruit or short-term grind would yield better results in case of adoption of best practices. Sometimes best practices are considered as short cut and in initial stages itself, it gets dropped and momentum is lost hence persistence is key.
  • Strategic Resource Allocation – Implementing best practices often requires investment in technology, training, and process improvements. Companies that prioritize short-term profits over long-term excellence may fail to sustain their initiatives.

While best practices are well-documented and accessible, only a few companies achieve world-class excellence by implementing them effectively. Here’s why:

 

1.      Lack of continuous culture .

Many companies focus only one time implementations rather than treating best practices as ongoing journey. This is evident in the six sigma Competency model, where the consciously competent level is considered as a dangerous phase. If organization do not sustain their six sigma journey through continuous improvement, regular training and consistent applications, they will never reach the core competency level. While many companies recognix=ze the need for six sigmas and its benefits they often fail to set in to their culture. This Lack of sustained effort is a major reason why only a few companies achieve long tern success.

     Employees and leadership often resist new methods due to fear, comfort with the status quo, or lack of         understanding. below are some examples 

  • Employees are comfortable with their current way of working. Any new process or system creates uncertainty, making them feel anxious about their role and future.
  • Most of employees has common mind set "We've always done it this way"
  • People prefer stability and may not see the need for change
  • Employees may not understand the benefit of the new implementations.
  • If leadership fails to explain the reason behind the change employees might think it as a extra work for them
  • If previous change initiatives they might not believe the new changes
  • Employees may feel they don’t have the time, tools, or training to adopt the new methods.

    3.poor execution 
  • Every industry has distinct processes and products, making it essential to customize implementations according to each specific aspect. Simply copying and pasting the same implementation process from one industry to another can lead to failure. Therefore, customization is crucial.

    It is important to utilize standard world-class best practices, but these should be adapted to fit your unique business processes. By doing so, organizations can maximize the effectiveness of their implementations and achieve better results

    4.Lack of leadership Commitment

  • Leaders play a key role in sustaining the implementation of best practices. Frequent changes in higher management, accompanied by varying directions, can hinder long-term success. That’s why training for upper management is crucial before any implementation begins.
  • When leaders believe in and support the initiatives, the chances of success significantly increase. It is essential for them to collaborate and contribute actively to maintain these practices over the long term.

5.Inadequate Training 

  • Employees need proper training to implement them effectively.

  • Many Companies do not track the implantations impact with their KPIs
  • If you do not track the impact of the changes that have been implemented, those changes will not sustain over the long term.

World class companies do not simply use best practices to achieve success. they set it that top their culture. employees are well educated about the processes and regular trainings ensures that these practices become habitual. As a result, these companies have succeeded in sustaining their excellence

The companies fail to succeed in implementing best practices due to lack of execution strategy.

 

1. Adaptability - In legacy industries like Banking & finance industries, the main challenge is driving teams towards implementation of best practices to achieve long term vision can be challenging without push from top leadership. This often causes failure of most of the companies which were successful (ex Nokia, Byju's etc.,)

 

2. Lack of execution - Resource skill gaps, weak goal settings and clarity on what is expected as a team impacts to greater extent.

 

3. Biased focus on Quick Wins - In current trends, the teams are heavily biased on implementing and showing quick results (most of the times siloed to specific team) rather than assessing how this will impact long term vision for greater good. 

 

 

 

Though in most of the organizations across industries, best practices are well documented and widely available, there are only few who are able to harness them to achieve world-class excellence because the very essence of success lies in creating an ecosystem where best practices can be made easily accessible and explainable, implemented through a strong leadership intent & support through an efficient and effective change management mechanism.

 

There only few companies who succeed in leveraging best practices and achieve excellence because

 

  • They accentuate on creating the right environment or eco-system to give the necessary impetus to best practice sharing and implementation. SME forums are well calendarized events in such organizations for fruitful discussion/deliberation on the best practices and how they can be deployed in various functional areas keeping in perspective cost reduction and risk mitigation objectives.

 

  • They focus on creating training capsules/ modules so that best practices are understood holistically. Why, How, When, Where & Who aspects are known. Training workshops are organized and the best practices are explained with an industry example or success story for better retention and successful implementation

 

  • Metrics are put in place to capture and measure implementation of best practices viz Best Practice Implementation Index (BPII) and the workforce is often rewarded based on tangible outcomes.

 

  • Culture of experimentation is encouraged to test the best practices in diverse areas of relevance though the outcomes or benefits may not be significant

 

  • Best practice implementation is managed through change control hub so that it is understood in the right spirit & context, there is buy-in for implementation from all stakeholders and the implementation is monitored and the outcome is tracked & measured

 

  •  For successful implementation of best practices and to institutionalize them, there is a strong leadership intent, support and involvement, amplified by the organizations vision and mission statements.

 

  •  There are workforce behavioral aspects or pre-conceived notions which may emerge as showstoppers in implementation of best practices. Successful organizations often leverage the Japanese concept of Nema washi to get the stakeholder buy-in or acceptance which helps in smooth implementation of best practices

 

  • The leadership uses confidence building measures to ensure any apprehensions or perceived counter views or adverse notions are addressed in a timely manner to ensure successful implementation of best practices in the organization.

My 2 cents - in order to successfully replicate best practices one needs to be observant and have an open mind. Henry Ford was able to identify a best practice (- Assembly Line) in a slaughterhouse and implement it in manufacturing cars. So be on the look out :)
