One could follow the following sequence - 

  1. Identify and List Costs:

    • Initial Costs: Include software licenses, hardware, and infrastructure costs.
    • Implementation Costs: Include costs for development, customization, testing, and deployment.
    • Training Costs: Costs for training employees to use and manage the RPA system.
    • Maintenance and Support Costs: Ongoing costs for system maintenance, updates, and support.
    • Opportunity Costs: Potential revenue lost or costs incurred during the implementation phase when resources could have been used elsewhere.
  2. Identify and List Benefits:

    • Labor Savings: Calculate the reduction in labor costs due to automation of repetitive tasks.
    • Efficiency Gains: Measure the increase in process speed and reduction in processing time.
    • Error Reduction: Calculate the cost savings from reduced errors and rework.
    • Scalability Benefits: Assess the ability to handle increased workloads without proportional increases in costs.
    • Compliance and Risk Management: Evaluate the benefits from improved compliance and reduced risks.
  3. Quantify the Benefits:

    • Direct Financial Gains: Calculate savings in labor costs and operational efficiencies.
    • Productivity Improvements: Estimate the value of increased throughput and reduced cycle times.
    • Quality Improvements: Assess cost savings from error reduction and improved accuracy.
    • Customer Satisfaction: Measure improvements in customer satisfaction and retention rates.
  4. Calculate Net Benefits:

    • Total Costs: Sum all identified costs.
    • Total Benefits: Sum all quantified benefits.
    • Net Benefit: Subtract total costs from total benefits to get the net benefit.
  5. Present Findings:

    • Create a detailed report with clear documentation of costs and benefits.
    • Use visual aids such as charts and graphs to illustrate the financial impact.
    • Provide a clear recommendation based on the net benefit.
  6. Review and Update Regularly:

    • Periodically review the RPA implementation to ensure that expected benefits are being realized.
    • Update the cost-benefit analysis as necessary to reflect changes in the business environment or process adjustments.

An MBB will usually like add one more step in the sequence (before finalizing and presenting findings)
