Hi All,

I'm writing this hoping i'm would find something i have not explored already to solve what i explain below.

I'm in a position where i supervise a team of 10 people. the work nature is such that there is no regular flow of work throughout the day and whatever comes is available to every user to be picked on first click first take basis.

 i have to ensure that i keep a track of their productivity in terms how long they are busy and on what task. since the software we use does not provide us rich facility to accomplish above i have developed an Excel sheet to capture it.

the problem is even though the time sheet(see attached file "sample sheet.xls") is protected; still the time punches section is editable by users and can be easily manipulated unless manually superviised which is not easy. have tried the macro idea but they dont work if the file is shared and protected!

the above is important to ensure users keep an eye on their station to see if new volume of work is available or not without having to reminded by others.

Have attached a sample file of the time sheet. Any suggestion is appreciated.

Hi Shyamal,

I saw your post today & the attached excel sheet aswell, & don't know if you've been able to solve the problem. Though yourl don't have the software capability to track the employee productivity (how much time spent on what work), I believe a monthly MIS statement would be getting generated giving the performance statistics (which should include the above) of each employee to gauge their performance for payment of incentives, rewards , etc, every month. You may continue tracking the employee performance as usual in the excel sheet prepared by you & compare its monthly data (time spent on the job) with the MIS (monthly) data. This will make it clear if figures are being fudged by any one or more employee, if they so do.

Deviations/discrepancies found if any can be rectified in ways that you think best would warrant that particular employee ( moral guiding, warning, manual checking, punitive measures, etc) to bring correction (recording correctly) in the employee behaviour subsequently, thus ensuring work decorum.

Though, this is a corrective measure, the employee's apprehension of being caught in the event of fudging data, & thus facing consequent action & embarrassment will make it a preventive one.

This is becoming the most popular project management tool. You should have a look at the endorsements/customer videos on their website.

I personally use it for 2 of my projects and am very satisfied.  Try the version with time tracking feature and it probably would solve all your worries ! "hopefully:-)"

Hi Shyamal,

I work in a similar condition, the way i was able to manage the situation is as below:-

(1) Using excel VBA we designed a form where users can input their data & the moment the first field is entered the processing time starts & the moment we hit on save/finish we have the end time captured.

(2) All backend data can be saved on a shared drive where no one can easily access

Note: APT - Average Processing Time can be the best metric in this situation to track ones performance.

You can also use UPH - Units per hour
